QUESTIONS ABOUT IMAGE AND PDF DOCUMENTS

WHAT IS THE OPTIMAL IMAGE QUALITY?

Basically, the sharper an image, the more can be extracted from it. So it is the same as with us humans. The more attention to detail there is, the more our cognitive abilities develop (this is also the case with the AI algorithms we have trained). The image dimension is of secondary importance, whereby a resolution of 720 x 1024 – 4096 x 4096 pixels (px) should not be exceeded.

Images that are larger than 4 MB or PDF documents larger than 7 MB then also offer no real added value and are therefore rejected by the BOTs. Pay attention to good lighting conditions and wait until the automatic camera focus has adjusted itself optimally.

WHAT DO I HAVE TO CONSIDER ABOUT PDF DOCUMENTS?

In many cases, the respective PDFs were created with the OCR option when they were originally created (if not, our BOTs do this for you automatically in the background). In many cases, when only paper versions of documents are available, this work is now done by a better multifunction device that can scan and print. The optical recognition (OCR) of characters, texts and symbols helps the trained, self-learning AI algorithms to derive the semantics.

These algorithms also recognize logos, signatures or handwritten memos, i.e. content that was not prepared using OCR. The quality of the result is defined by the quality of the original print and the number of successful classifications of a document type. With the number of correct recognitions, the quality of the interpretation of documents increases. This happens due to the self-learning algorithm on which our BOTs are based.

HOW DO I ACHIEVE QUALITY IMPROVEMENTS IN PDFs?

The quality of a PDF is defined by its conformity to the official PDF standard. Not every printer driver that offers PDF as a format also creates a flawless PDF. Such flaws, some of which are not recognizable at first glance, can lead to losses in the recognition. BOTS4ME offers an optional remedy by cleaning up the documents before they are fed to the actual content recognition.


QUESTIONS ABOUT LICENSING

ARE TEST LICENSES OFFERED?

Yes, it is possible to obtain a company-specific test license. Various information is required from you so that the necessary activation can be carried out after a corresponding check from our side. Ideally, you get in touch with our customer service. You can reach us most easily via the integrated chat (see below right) and we can discuss your individual needs without obligation.

HOW LONG IS A TEST LICENSE VALID?

In principle, test licenses are limited in terms of time, content and the number of non-billable calls. The period is usually between 1-2 months. Depending on the customer’s project, this test period can be extended if necessary. Reasons for an extention of the subscription must be approved of first.

WHAT HAPPENS AFTER THE END OF THE TRIAL PHASE?

Without explicit termination by the customer, the test subscription will be converted into a regular subscription. This means that the individual prices are valid from this point in time onwards and will be charged per call. The currently valid prices can be found in the admin panel under PRICING.

If the test subscription is not canceled within a period of two months after the conversion to a regular subscription, the deferred activation fee will be charged according to the fee model.

DO I NEED A TEST LICENSE FOR EACH BOT?

No, together we will define the «use case» or «use cases» that you would like to cover. In most cases this requires a group of BOT services (so-called Swarm Elements or in short SE). In many cases, our customers also use our smartphone app smartLENS, where various «use cases» are predefined and made available for the end user.

HOW ARE BOTS LICENSED?

Basically, individual BOTs (Swarm Elements) are grouped together within a subscription. Depending on the application, they are used individually or in logical units («use cases») and thus fulfil a complex task. Billing is based on the number of individual BOT calls.

A call usually has a unit price and is billed in arrears. However, contingents with different characteristics can also be purchased, which are coupled with a customer-friendly discount. Please contact our «Account Management» about this interesting possibility to optimize your costs.

HOW ARE APPS LICENSED?

BOTS4ME differentiates between apps that were specifically created for a customer and so-called apps that are used under the «White Labeling Capability» (i.e. with the customer’s brand). The first category is treated as a project. In the second case, only the calls made are billed. The use of the smartLENS app itself for iOS and Android is free of charge with a valid subscription.


GENERAL INFORMATION ABOUT THE BOTS

WHAT IS THE DESIGN OF A BOT?

The BOTs from BOTS4ME are basically agnostic, i.e. designed to be industry-neutral and can therefore be used under different business conditions. They usually perform a task such as reading out content from a certain document type or image. The determined content is also validated with various sources. This not only increases the quality of recognition itself, but also adds further valuable elements to what has been recognized. The calculated recognition rate flows back into «Feedback Loops», the BOT’s learning loop.

The self-learning BOTs (Swarm Elements or in short SE) are often linked together to form an intelligent group, which can then be used to accomplish a specific complex business task. Within a defined group, the «Swarm Elements» independently perform different tasks. These individual results constitutue eventually to the overall result along a rule tree. In this way, more complex «use cases» can be mapped and dealt with. Possible examples are the collection of customer data, specific validations including data enrichment, calculations of offers, including the creation of the associated PDF documents et cetera.

The extensive API Universe is available for a company-specific connection to the BOTs. Individual BOTs are called via a REST API. The response body of the call is in JSON format.

HOW ARE BOTS USED?

The individual BOTs (Swarm Elements) are called via a REST API, the results are returned in a JSON format. Any embedded documents are «Base64 encoded».

Due to the modern, manageable architecture, the BOTs are usually embedded directly in third-party applications (LoB). In this way, they make a valuable contribution within the entire value chain and are exactly where they can most effectively develop their effect.

Another option is to use our BOTs in smartphone apps developed by you. If this is not a possibility, BOTS4ME offers a solution that is valued by our customers. Via the «White Labeling Capability» of the smartLENS app from BOTS4ME, customers use the configurable «use cases» within this app on smartphones and tablets. In this way, your own customer base can be served with a new functionality in a timely manner.

Yet another common option of using our BOTs is in combination with the popular chat bots (e.g. Zendesk, Freshchat and other well-known providers). Generally speaking, chat bots can be found omnipresent today, especially in web shops or in customer support. The BOTS4ME BOTs are part of the configured listener within a standard chat bot product. If a defined sequence of statements occurs within a dialogue, the provided content can be forwarded to our BOTs. Of course, this assistance must be agreed on by all dialogue partners before the conversation begins.

A Certificate of Compliance or CoC is a formal certification declaring that an individual or company has met a set of conditions. The fulfillment depends on the type and design of a product or service.

WHY IS A CERTIFICATE OF COMPLIANCE IMPORTANT?

Many companies require a certificate of conformity to ensure that the products and services they use meet international standards before they are used. Offers from suppliers such as BOTS4ME that meet acceptable international standards receive a certificate of conformity. BOTS4ME largely fulfills the certifications ISO 27001:2013, SOC TSP or PCI DSS 3.2.1. With our market offer of BOTs, we strive to fulfil these specifications according to the requirements of Microsoft Defender for Cloud.


GENERAL INFORMATION ABOUT THE ADMIN PANEL

WHAT’S IN THE ADMIN PANEL?

The admin panel, which is available as a Microsoft TEAMS app, contains all the necessary functionality for maintaining your subscription, users and contingent plans. In the admin panel you will also find a detailed history of the calls your users made, the cost accounting and of course a comprehensive audit log.

For your developers and system administrators, you will find a separate tab in the admin panel, the Dev Center. That’s where our API is described and e.g. a Postman file is ready for download. Your system administrators will find all the necessary information on the Service Center tab especially developed for this user group, such as: availabilities, incidents or advance notice of maintenance work.

The admin panel is free of charge with a valid subscription.

WHAT ARE THE ROLES IN THE ADMIN PANEL?

We have implemented a broad, comprehensive role concept for you so that we can meet the requirement: NEED TO KNOW principle. Specifically, this means that there are a variety of roles that you can assign to your users. Please make sure that you keep them maintained over time, because this is your responsibility.

The following roles are available: Administrator, User, Developer and Auditor. The auditor role is specifically intended for financial and monitoring activities such as inspecting the audit control log.
