QUESTIONS ABOUT IMAGE AND PDF DOCUMENTS

WHAT IS THE OPTIMAL IMAGE QUALITY?

Basically, the sharper the image, the more you can extract from it. It is the same with us humans. The sharper the detail, the better our cognitive abilities develop (this is also the case with the AI algorithms we have trained). The size of the image is of secondary importance, although a resolution of 720 x 1024 – 4096 x 4096 pixels (px) should not be exceeded.

Images larger than 4 MB or PDF documents larger than 7 MB do not add any real value and will be rejected by the BOTs. Make sure the lighting is good and wait for the camera’s autofocus to adjust.

WHAT DO I HAVE TO CONSIDER ABOUT PDF DOCUMENTS?

In many cases, the PDFs were created with the OCR option when they were originally created (if not, our BOTs will do this for you automatically in the background). In many cases, when only paper versions of documents are available, this work is now done by a better multifunction device that can scan and print. Optical character recognition (OCR) of characters, text and symbols helps the trained, self-learning AI algorithms to derive the semantics.

These algorithms also recognize logos, signatures or handwritten notes, i.e. content that has not been prepared using OCR. The quality of the result is defined by the quality of the original and the number of successful classifications of a document type. The quality of document interpretation increases with the number of correct recognitions. This is due to the self-learning algorithm on which our BOTs are based.

HOW DO I ACHIEVE QUALITY IMPROVEMENTS IN PDFs?

The quality of a PDF is defined by its conformance to the official PDF standard. Not every printer driver that offers PDF as a format produces a flawless PDF. Such errors, some of which are not visible at first glance, can lead to recognition losses. BOTS4ME offers an optional remedy by cleaning up the documents before they are sent to the OCR engine.

ARE TEST LICENSES OFFERED?

Yes, it is possible to obtain a company-specific evaluation license. Various information is required from you so that the necessary activation can be carried out after a corresponding check on our part. The best way is to contact our customer service. The easiest way to contact us is via email or the contact form.

HOW LONG IS A TEST LICENSE VALID?

Trial licenses are limited in time, content and number of non-billable calls. The duration is usually 1-2 months. Depending on the customer’s project, this trial period can be extended if necessary. Reasons for subscription extension must be approved in advance.

WHAT HAPPENS AFTER THE END OF THE TRIAL PHASE?

Unless explicitly cancelled by the customer, the trial subscription will be converted to a regular subscription. This means that the individual prices are valid from that point on and will be charged per call. The current prices can be found in the admin panel under PRICING.

If the trial subscription is not cancelled within two months of converting to a regular subscription, the deferred activation fee will be charged according to the fee model.

DO I NEED A TEST LICENSE FOR EACH BOT?

No, together we will define the «Use Case» or «Use Cases» you want to cover. In most cases, this requires a group of BOT services (called Swarm Elements, or SE for short). In many cases, our customers also use our smartphone app or „Pocket Buddy“ where different use cases are pre-defined and made available to the end user.

But remember, all configurations can be easily done in the Admin Panel when you get your subscription.

HOW ARE BOTS LICENSED?

Basically, individual BOTs (Swarm Elements) are grouped together within a subscription. Depending on the application, they are used individually or in logical units («use cases») to fulfill a complex task. Billing is based on the number of individual BOT calls.

A call typically has a unit price and is billed in arrears. However, it is also possible to purchase contingents with different characteristics and a customer-friendly discount. GENERAL INFORMATION ABOUT THE BOTS

WHAT IS THE DESIGN OF A BOT?

BOTS4ME’s BOTs are basically agnostic, i.e. they are designed to be industry neutral and therefore can be used in different business environments. They typically perform a task such as extracting content from a specific document type or image. The extracted content is also validated against various sources. This not only increases the quality of the recognition itself, but also adds other valuable elements to the recognized content. The calculated recognition rate is fed back into feedback loops, the BOT’s learning loop.

The self-learning BOTs (Swarm Elements, or SE for short) are often linked together to form an intelligent group that can be used to accomplish a specific complex business task. Within a defined group, the Swarm Elements perform different tasks independently. These individual results are eventually combined into an overall result along a rule tree. In this way, more complex use cases can be mapped and handled. Possible examples are the collection of customer data, specific validations including data enrichment, the calculation of quotes including the creation of the corresponding PDF documents, etc.

The extensive API universe is available for custom connection to the BOTs. Individual BOTs are called using a REST API. The response body of the call is in JSON format.

HOW ARE BOTS USED?

The individual BOTs (Swarm Elements) are called via a REST API, the results are returned in JSON format. All embedded documents are Base64 encoded.

Because of their modern, manageable architecture, BOTs are typically embedded directly into third-party applications (LoBs). In this way, they make a valuable contribution to the entire value chain and are exactly where they can be most effective.

Another option is to use our BOTs in your own smartphone applications. If this is not possible, BOTS4ME offers a solution that is appreciated by our customers. Through the „White Labeling Capability“ of the BOTS4ME smartphone app, customers use the configurable „use cases“ within this app on smartphones and tablets. In this way, your own customer base can be served with new functionality in a timely manner.

Another common way to use our BOTs is in combination with popular chat bots (e.g. Zendesk, Freshchat and other well-known providers). Generally speaking, chat bots are ubiquitous today, especially in web shops or in customer support. The BOTS4ME BOTs are part of the configured listener (by the LLM functionality) within a standard chat bot product. If a defined sequence of statements occurs within a dialog, the provided content can be forwarded to our BOTs. Of course, this assistance must be agreed upon by all dialog partners before the conversation starts.

Many companies require a Certificate of Conformity to ensure that the products and services they use meet international standards before they use them. Offerings from vendors such as BOTS4ME that meet acceptable international standards receive a certificate of compliance. WHAT’S IN THE ADMIN PANEL?

The Admin Panel, available as a Microsoft TEAMS application (and as a standard web application), includes all the functionality you need to manage your subscriptions, users, and quota plans. The Admin Panel also provides a detailed history of your users‘ calls, cost accounting, and a comprehensive audit log.

For your developers and system administrators, you will find a separate tab in the admin panel, the Dev Center. That’s where our API is described and a Postman file is available for download. Your system administrators will find all the information they need on the Service Center tab, which has been developed especially for this user group, such as: availabilities, incidents or advance notice of maintenance work.

The Admin Panel is free with a valid subscription.

WHAT ARE THE ROLES IN THE ADMIN PANEL?

To meet this requirement, we have implemented a broad, comprehensive role concept for you: NEED TO KNOW principle. Specifically, this means that there are a variety of roles that you can assign to your users. Please make sure that you maintain them over time, as this is your responsibility.

The following roles are available: Administrator, User, Developer, and Auditor. The Auditor role is specifically intended for financial and monitoring activities, such as viewing the audit control log.
